SVCN Request for Proposals
Silicon Valley Council of Nonprofits (SVCN) is seeking an experienced Event Director (Independent Contractor) to lead the logistics planning and execution of a nonprofit conference for approximately 500 attendees, to be held in Santa Clara County in late February or early March 2026. This is a temporary independent contractor role, with work beginning immediately and extending through the event date and post-event debrief. 
The Event Producer will work closely with the SVCN team to source vendor options, present recommendations, and manage day-of execution. While the contractor will oversee logistics and vendor coordination, all final decisions on vendors, event elements, and program direction will be made by SVCN. 

  • Lead event logistics: Oversee all operational aspects of the conference to ensure a smooth, high-quality experience for attendees, speakers, and sponsors. 
  • Support early concept development: Collaborate with SVCN to refine the event vision, incorporating insights on innovative formats, attendee experience enhancements, and hybrid or accessibility options. 
  • Source and present vendor options: Identify and vet vendors (e.g., venues, caterers, AV providers) and present multiple options and recommendations to SVCN for approval. 
  • Manage implementation: Coordinate approved vendors and logistics, providing detailed planning and communication to ensure alignment with SVCN’s goals and decisions. 

  • Partner with SVCN in early event planning to offer creative recommendations on event flow, hybrid platform considerations, and engaging attendee experiences that align with the conference goals. 
  • Identify and evaluate venue options in Santa Clara County that align with SVCN’s accessibility, capacity, and budget needs. Present options and manage the booking process once a selection is made by SVCN. 
  • Source and recommend catering providers that accommodate a range of dietary needs and align with budget and values; coordinate catering once selected. 
  • Coordinate with approved AV vendors and provide support for technical production needs across plenary and breakout sessions. 
  • Manage logistics related to printed materials, signage, swag, and name badges—providing design and production vendor options for SVCN approval. 
  • Develop and manage a clear run-of-show, production schedule, staffing plan, and day-of logistics strategy in partnership with SVCN. 
  • Organize and oversee exhibitor/expo area, including pre-event communications and on-site management. 
  • Provide clear and timely updates, task tracking, and documentation to SVCN throughout the planning process. 
  • Participate in a post-event debrief with the SVCN team and provide insights and recommendations for future events. 
  • Our budget for this project is $20,000 - $30,000

  • Proven experience managing events of 300–500+ attendees, ideally in the nonprofit or social impact sector. Preference for a consultant with experience and knowledge working with Santa Clara County vendors and venues.  
  • Demonstrated ability to source and manage vendors while working within a client-driven decision-making structure. 
  • Strong organizational and communication skills, including attention to detail and deadline management. 
  • Experience managing event budgets, timelines, and logistics with minimal supervision. 
  • Familiarity with inclusive, accessible, and equity-centered event practices. 
  • Ability to work collaboratively and responsively in a fast-paced, mission-driven environment. 
  • Availability to begin immediately and remain engaged through event execution and wrap-up. 

Proposals will be reviewed on a rolling basis, with priority given to proposals received by Friday, July 25, 2025, at 8:00 am PT
